Time management often feels like the perpetual battle we’re all fighting but never quite winning. In this episode of the Mindset & Action Podcast, I sat down with mindset expert Vivienne Joy to explore why managing our time effectively can be such a struggle. What we discovered might surprise you: time management issues often stem from deeper factors like over-promising, societal expectations, and even trauma. Viv pointed out that we tend to overload our schedules to meet unrealistic standards, often because we’re afraid of disappointing others or being judged. However, this overcommitment leads to stress and dissatisfaction—an unproductive cycle we can all relate to.
Time Management is Really About Values
Viv introduced a powerful idea that flipped the script on traditional time management advice: it’s not about managing your hours but managing your values. She explained that we naturally prioritise things we truly value. For instance, no one forgets to pick up their children or brush their teeth—these tasks are non-negotiable because they matter deeply. However, many of us fill our schedules with tasks that others value rather than focusing on what’s most important to us. Shifting your perspective to “value management” can help you prioritise actions that align with your goals and aspirations rather than just what feels urgent.
Start with Your Goals, Not Your To-Do List
One of Viv’s standout pieces of advice was to start with the end in mind. She encouraged listeners to think about their long-term goals instead of simply ticking off items from a never-ending to-do list. For example, instead of focusing on the immediate pressures—like responding to emails or running errands—begin by asking yourself what your future self would prioritise. This shift in mindset can help you make decisions that move you closer to your bigger picture, whether it’s building a thriving business, cultivating meaningful relationships, or improving your well-being.
Avoid the Busy Fool Syndrome
It’s easy to confuse being busy with being productive, but Viv was quick to warn against the “busy fool” syndrome. We’ve all had days where we sit at our desks for hours, only to realise we’ve accomplished very little. Viv shared practical advice to combat this, like leaving white space in your diary to allow for flexibility and focusing on high-value tasks. She emphasised the importance of aligning your actions with your goals rather than getting lost in the noise of daily distractions.
Planning for Success
Viv’s approach to planning resonated deeply with me. She shared her own strategy of planning her diary around what matters most—starting with holidays and personal time, followed by business goals and the steps to achieve them. This intentionality ensures that every task in her schedule supports a greater purpose. For those of us who struggle with sticking to plans, she reminded us that it’s okay to adapt and adjust, but staying connected to what we value is key.
